Project Associate Contract Procedure

PJAS Timeline

Once the Personal Action Form (PAF) information is collected and all documents collected, BE Central fills in the PAF and sends it on for the hierarchy’s signatures. At this point, all documents would have been checked and the HID (and family supplement, if applicable) are completed to HR’s standards.

We then store these documents in CERNBox to then transmit the folder to the PJAS HR co-ordinator, ensuring that we follow the data protection policy. The contract, based on the documents sent, will then be created.

NOTES:

  • If the PJAS working presence is at less than 100%, both the subsistence allowance and the spouse/family allowance must also reflect the given working percentage,
  • Those holding associate contracts at their Home Institute are unable to have a PJAS contract; they must be hired and funded by their respective institutes,
    • As such, when filling in the HID – “Associates” are never accepted as a job at the home institute by HR,
    • If the HID has job title described as “Associate” or “Associate ____”, the contract request will not be accepted,
  • Students are not eligible for a PJAS contract, unless fully employed at the institute in addition to their student status,
  • Minimum working percentage for any PJAS contract is 55%,
  • No minimum level of qualification required for a PJAS,
  • If there is a change of institute – a new HID must be provided, signed by the new institute and sent to HR co-ordinator, who will then update the system,
  • If someone worked at CERN before and was married/PACSed at that time, there is no need to send the partner’s documents again (we just let HR co-ordinator know when sending the documents), which should be already uploaded into CERN’s Alfresco system.

WORKING PRESENCE PERCENTAGE CHANGES: If lowered, then only a PAF is needed. If increased, a PAF and new HID are needed.
