ARRIVALS


BE preparation for the Newcomers
- The registration of MoPs in the database is handled by HR. The information is then visible in HRT.
- At the beginning of each month, BE Central Secretariat prepares a newcomers table* and send it to the DH, GLs, GAOs, ATS Desktop members and the Space Manager Assistant.
- GAOs then check the table (organic unit, SV) and complete it with information regarding offices, keys and IT material within the deadline.
Once the arrival table is fully completed…
- The keys are ordered by the Space Manager Assistant. The IT material is prepared/ordered by the ATS-desktop team.
- BE Central Secretariat sends an email to all SVs (in copy DH, GLs, GAOs and SLs) including important information related to newcomers’ arrival (HR Onboarding Session & BE welcome Presentation).
- Around the 24/25 of the month, GAOs send a personalised email to newcomers (all statuses) with information on the hierarchy, office number and any other information.
- BE Central Secretariat sends the BE Welcome Outlook invitation to all newcomers. This meeting takes place immediately after the HR Onboarding session on the first working day. Their attendance is mandatory.

First day at CERN
- Newcomers participate in the first HR Onboarding Session (until mid-morning). The Indico link (containing details of the attended programme) is sent by HR to the newcomers.
- Newcomers, at the end of this first session, meet BE Central team at the Globe and then walk together to the meeting room venue for the BE Welcome Presentation.
- Newcomers meet with their supervisors or go to their office depending on the arrangement with them.
- Newcomers should collect their permanent access card at the registration service (building 33).
Second day at CERN
Newcomers participate in the second session of the HR Onboarding Session.

- Staff,
- Graduates,
- Technical, Administrative and Doctoral Students,
Please note, that not all of the above contracts can benefit from departure travel payment. Eligibility for this benefit is specified in the offer letter issued by Human Resources. If you are unsure, please contact the BE Central Secretariat who can let you know if you are entitled to this.
On the second working day, BE Central Secretariat verifies that supervisors are correctly registered in the personnel database. If needed, BE Central Secretariat updates this information.
You should first discuss with your supervisor to define the needs of the service. Once your request is approved, please complete the EDH Training request in the Learning Hub and attach a justification.

- Ensure your local address is registered in EDH Change of Local Address.
- Open a Swiss Bank account and register your bank details in EDH Bank Form.
- BE Central Secretariat will then launch the payment in EDH (lump sum basis).
