Unpaid Leave
STAFF, FELL and GRAD may be entitled to Special Leave for personal convenience or professional reasons.
- Unpaid Special Leave for professional or personal reasons must be discussed with the HR Contact at least six months prior to the proposed start of the special leave.
- Leave duration: The initial period of authorised special leave may be up to three years. Subsequent renewals may be granted for additional periods of up to three years.
- Once the special leave has been approved, HR will contact BE Central Secretariat, which will draw up a Personnel Action Form (PAF), indicating the leave reason, effective dates of the leave, and whether or not the MPE will continue to be a member of the CHIS.
- The signed PAF is then sent to HR contact, the Salary Office and Cards Service (for absences longer than 2 months).
- Records Office will then register the information in the system and issue the amendment.
- BE Central Secretariat registers the Unpaid Special Leave in EDH.
- If Unpaid Special Leave exceeds 2 months, the MPE must complete the Special Leave Check Sheet (MPE) and send it to BE Central Secretariat
- At least one month before the end of the leave, the MPE must contact BE Central Secretariat to confirm their return and reactivate the contract.
- If the MPE returns on the agreed date, BE Central Secretariat will notify the relevant services by email to reactivate the contract as of the return date, enable the Salary Office to resume monthly remuneration, and allow the Cards Office to return or extend the necessary cards, if required.
- If the MPE extends the unpaid special leave, BE Central Secretariat will launch a new PAF reflecting the the new end date communicated by the MPE. Once the extension is approved by the hierarchy and registered by the Records Office, BE Central Secretariat informs the services involved and registers the absence in EDH.
